Designing Accessible AV Spaces: Better Experiences for Everyone

A well-designed audio visual system should help people see, hear, understand and participate. Yet many spaces are planned around the equipment first and the user experience second. The result can be content that is difficult to read, speech that is hard to hear, controls that are confusing or hybrid meetings that leave remote participants struggling to contribute.
Accessible AV design takes a broader approach. It considers the different ways people receive information and interact with technology, then builds flexibility into the room from the beginning. The benefits extend beyond people with permanent disabilities: clearer sound, readable displays and simpler controls make spaces easier for everyone to use.
Accessibility begins with understanding the space
The right solution depends on the room, the audience and the activities taking place. A classroom, boardroom, community hall, reception area and public information space will each have different requirements. Before choosing equipment, it is useful to ask:
Who will use the space, and what access needs may they have?
Where will people sit, stand or move during normal use?
Will content include live speech, video, presentations, captions or interactive material?
Will remote participants need to see, hear and contribute equally?
How much ambient light, background noise or reverberation is present?
Can people operate the system without specialist technical knowledge?
Early consultation is valuable because accessibility is easier and more cost-effective to build into a design than to add after installation.
Clear, intelligible audio
Volume alone does not guarantee clarity. Speaker placement, room acoustics, microphone selection and system tuning all influence whether speech can be understood. Hard surfaces may create echoes, while background noise from ventilation, corridors or nearby activity can mask important information.
An accessible audio design aims for even coverage throughout the room, clear speech reproduction and microphones suited to the way people will present or participate. Some spaces may also benefit from assistive listening technology. The appropriate option should be selected in consultation with users and according to the venue’s requirements.
Displays that are easy to see and read
Screen size should be based on viewing distance and the type of content—not simply the available wall space. Text that looks clear from the front of a room may be unreadable from the back, particularly when detailed spreadsheets or small interface elements are displayed.
Brightness, contrast, glare and mounting height also matter. Displays need to remain visible under typical lighting conditions and from the positions people actually occupy. Where information is essential, combining visual content with clear spoken explanation or another format can improve understanding.
Captions and multiple ways to receive information
Captions can support people who are Deaf or hard of hearing, people participating in a second language and anyone working in a noisy or quiet environment. For recorded content, captions should be reviewed for accuracy. For live sessions, the chosen platform and room system should make captioning easy to enable and display.
Important messages should not rely on sound, colour or visual content alone. Providing information in more than one way helps a wider audience follow instructions, understand presentations and respond appropriately.
Inclusive hybrid meetings and lessons
Hybrid spaces require more than a camera pointed at the front of the room. Remote participants need clear views of speakers and shared content, while people in the room need to hear remote voices without echo or interruption. Good microphone coverage is particularly important because remote participants cannot compensate for poor room audio.
Thoughtful camera placement, automatic framing where suitable, effective echo cancellation and simple content sharing can create a more balanced experience. The aim is to make participation feel natural, regardless of location.
Controls that reduce barriers
Complex control panels and inconsistent start-up procedures create unnecessary barriers. A room that requires several remotes, hidden switches or specialist knowledge is less accessible and less likely to be used confidently.
Clear labels, logical screen layouts, consistent controls across rooms and simple presets can reduce cognitive load. Physical placement should also be considered so controls, connection points and interactive displays are reachable from different positions. Where appropriate, automation control systems can bring multiple AV functions into one straightforward interface.
A practical accessible AV checklist
Can everyone in the expected audience see the display clearly?
Is speech intelligible in every normal seating position?
Can captions be enabled and shown without covering important content?
Are remote participants able to hear, see and contribute effectively?
Are controls clearly labelled, consistent and easy to reach?
Are key instructions communicated through more than one method?
Have real users been included in testing before the system is signed off?
